5 Zapier Automations Every Small Business Owner Needs

You don't need 50 automations to change how your business runs. You need five good ones. Here are the five I set up for almost every client I work with, and why they matter more than you think.

1. New Lead Notification + CRM Entry

When someone fills out a form on your website, two things should happen instantly: you get notified, and that lead lands in your CRM with all the info attached. No copying and pasting. No "oh I forgot to check the form." If you're manually entering leads from your website into your CRM, you're already behind. This is the first automation I build for every single client because it's the one that directly protects revenue.

2. Client Onboarding Sequence

The moment a contract is signed or a payment is received, your onboarding should kick off automatically. Welcome email. Intake form. Calendar link. Project setup. Every time you do this manually, you risk forgetting a step or making a new client feel like an afterthought. Automate it once and every client gets the same professional, seamless experience.

3. Task Creation from Email or Slack

If you or your team are constantly saying "oh, I forgot about that," this is the fix. When a specific type of email arrives or a Slack message is posted in a channel, Zapier creates a task in your project management tool. No more things living only in someone's inbox. No more "I thought you were handling that."

4. Invoice Follow-Up Reminders

This one is awkward to do manually but effortless to automate. When an invoice goes unpaid past its due date, an automatic reminder goes out. Polite, professional, and consistent. You never have to be the bad guy, and you never have to remember to chase money again.

5. Weekly Summary Reports

Every Friday, a Zap pulls key data from your tools and sends you (or your team) a summary. New leads this week. Tasks completed. Revenue collected. Hours logged. Whatever matters to your business. It takes 10 minutes to set up and saves hours of manual reporting every single week.
